1. Agreement to Terms

By submitting a competition entry form and/or making payment, you agree to be bound by these Terms & Conditions.

2. Eligibility

• Participants must have an active current membership at Sorrento Tennis Club.
• Participants must meet eligibility criteria for the relevant competition.
• Participants must provide accurate and complete information.
• Participants must comply with all club rules and applicable Tennis Australia regulations (where applicable).

The Club reserves the right to refuse or cancel an entry if information provided is incorrect or eligibility requirements are not met.

3. Participation at Own Risk

Participation in tennis competitions and related activities involves inherent risks of injury.

• Participants acknowledge participation is at their own risk.
• Participants accept responsibility for their own health and fitness.
• Participants release the Club, its committee members, volunteers and representatives from liability for injury, loss or damage, except where required by law.

4. Code of Conduct

• Participants must behave respectfully towards players, officials and spectators.
• Participants must comply with competition rules.
• Participants must follow directions issued by the committee or appointed officials.

The Club reserves the right to suspend or remove participants for misconduct.

5. Competition Changes

The Club may modify fixtures or formats, postpone matches, or cancel competitions due to weather or unforeseen circumstances. Decisions are at the discretion of the Committee.

6. Fees & GST

• All fees are in Australian Dollars (AUD).
• Fees include GST where applicable.
• Fees must be paid in full before participation unless otherwise approved.

A Tax Invoice will be issued in accordance with Australian taxation requirements.

7. Committee Discretion

The Committee reserves the right to make decisions regarding eligibility, scheduling, disputes and refunds in the best interests of the Club and competition.

8. Amendments

These Terms may be updated from time to time. Updated versions will be published on this page.

The Club is committed to protecting the privacy of members, participants and website users.

2. Information We Collect

• Full name
• Date of birth
• Contact details (email, phone, address)
• Emergency contact details
• Competition and participation details
• Payment information (processed securely via a third-party provider - Square via Google Pay)

Sensitive information (such as medical information) will only be collected where necessary for participation and safety.

• Online entry forms
• Paper forms
• Email correspondence

Information is used for:

• Competition administration
• Communication regarding fixtures and results

We do not sell or trade personal information.

5. Payment Processing

Online payments are processed via Square. The Club does not store credit card details. Square handles payment data in accordance with its own security and privacy policies.

6. Storage & Security

The Club takes reasonable steps to protect personal information by:

• Securing digital records
• Limiting access to authorised committee members
• Storing paper records securely
• Destroying records when no longer required

7. Access & Correction

Individuals may request access to or correction of their personal information by contacting the Club.

8. Retention

Personal information will be retained only as long as required for operational, legal and financial purposes.

1. Competition Entry Fees

All competition entry fees are payable in advance and include GST where applicable.

2. Refund Eligibility

Refunds may be considered:

• Prior to fixture publication
• In exceptional circumstances at the discretion of the Committee
• Where the competition is cancelled before commencement

3. Non-Refundable Circumstances

Entry fees are generally non-refundable:

• After fixtures are released
• Once a participant has commenced competition
• Where withdrawal is due to change of personal circumstances

4. Competition Cancellation

If a competition is cancelled by the Club before commencement, the Committee will determine whether a full or partial refund will be issued, taking into account administrative and committed costs.

5. Refund Processing

Approved refunds will be processed via the original payment method where possible and issued within a reasonable timeframe.
